Job Description :

  • The provision of a support service covering all areas of basic administration necessary for the successful operation of the project or office.To ensure that adequate and effective support is available to the management team. To manage the administrative services required with maximum efficiency and expediency
  • Assist with identifying staff resources required to provide effective services for the project/office. Assist with the recruitment, and retention of staff.
  • Manage the site processes for materials and plant control and time keeping functions.
  • Liaise with management at all levels and other departments and deal with internal and external suppliers as required/requested
  • Take responsibility for timely completion of site based monthly payroll.
  • To implement and manage Plant and Stock control systems
  • Ensure all forms relating to Payroll and HR are completed accurately and communicated accordingly.
  • Provide and supervise general administrative support for all departments as required.
  • Reporting of data as and when required and to schedules.
  • Ensure adherence to the ‘Strategic Administration Calendar’.
  • Identify the magnitude and specifics of the support service required for the project/office.
  • To provide the necessary temporary cover for any particular administrative task.
  • Advise junior staff with guidance on their job responsibilities.
  • Ensure development and training needs of staff are identified and provided.
  • All staff will be required to support a duty roster to enable FMMA to deliver 24/7, 365 service
  • Graduate/Professional qualification in Business Management
  • 6+ years’ experience
  • Knowledge of the industry and business need
  • A good understanding of the COINS infrastructure and functionality
  • Logical and well organised with ability to prioritise
  • Numerate and accurate
  • Communication and IT skills.
  • Positive response to pressure
  • Technically competent in diverse functions.
  • Ability to support and motivate
  • MENA Experience preferred
  • An innovative approach and sound leadership qualities.
  • Experience of managing both hard & soft FM services
  • Experience of working in a busy and challenging workplace / work environment.
  • Excellent organisational skills
  • Ability to utilise numerous IT packages (e.g. Microsoft Office, e-mail, Internet etc).
  • Excellent written and oral communication skills.
